Most fleet management platforms send alerts to an inbox. That works if the person responsible for acting on the alert is at their desk, logged in, with notifications on.
In practice, supervisors and fleet managers who need to respond to an impact event, an unauthorized access attempt, or a failed pre-shift check are rarely at their desk when it happens. They are on the floor, in a meeting, or between sites.
SMS alerts close that gap. Every alert and report in XQ360 can now be delivered directly to a mobile number — as a complement to email, or as the primary channel for specific alerts, depending on how each person works. The choice is configurable per user and per alert type, so the platform adapts to your team’s workflow rather than the other way around.
What changed
Every alert type and scheduled report in XQ360 now has an SMS delivery option, configurable per user and per alert. Administrators add a mobile number and country code to a user profile, then toggle SMS on for any alerts or reports that person is responsible for.
The full list of alerts now available via SMS includes Red Impact Alert, Unknown Driver Access Alert, Unauthorized Driver Access, Failed Critical Question Lockout Alert, Driver Licence Expiry Alert, Service Reminder Alert, Battery Low (20% and 30%) Alert, Idle Timeout Alert, Survey Checklist Timeout Alert, Broadcast Message Alert, and Impact Calibration Alert.
Scheduled reports — including the General Productivity Report, Impact Report, Pre-Op Check Report, Machine Unlock Report, Current Status Report, and others — can also be configured for SMS delivery.
Why the channel matters
A Red Impact Alert sitting in an email thread is data. The same alert arriving as an SMS while a supervisor is still on the floor is the beginning of a decision.
Under OSHA 29 CFR 1910.178(q)(2), PUWER Regulation 23, and equivalent frameworks including the Model WHS Act (AUS) and NOM-006-STPS-2023 (MX), defective or unsafe equipment must be removed from service immediately upon identification. SMS delivery compresses the time between identification and action to seconds — and creates a timestamped record of when the alert was sent and to whom, which becomes part of the audit trail.

Dual Authentication: two credentials, one standard, no unauthorized access

A customer in Mexico came to us with a straightforward concern: they were not sure the person operating the vehicle was actually the person the system said was operating it.
It is a more common situation than most operations want to admit. A PIN gets passed between two operators who cover for each other. A card gets left in the cab between shifts. A fob travels with the vehicle instead of the person. None of these are malicious choices — they are operational shortcuts that accumulate over time and become invisible until an incident makes them visible.
The consequence is not just a traceability gap. Under OSHA, PUWER, and equivalent frameworks, every operator must be certified on the specific truck type they run. A shared credential can put an uncertified operator on the wrong vehicle — and the record will show the authorised person’s name. When something goes wrong, the paper trail is wrong too.

XQ360 now offers two-factor authentication (2FA) for driver login, requiring both a card and a PIN code before vehicle access is granted. The operator experience adds minimal friction: the driver scans their card and then enters their PIN — that is the full sequence before the vehicle can start.
The policy is configured at the department level, which means customers can apply the dual-factor requirement selectively — only to the operational areas where the security need is highest — without affecting other departments in the fleet. An operation with a high-security zone and a general warehouse area can configure 2FA for one and not the other, from the same platform.
The security improvement is significant: a single credential can be lost or shared. Two independent factors are considerably harder to compromise at the same time — not through policy, but structurally.
